Uploading and Digesting Commission Statements
You upload your data to ComTrack using commission statements provided by your carriers or FMOs.
These statements may come in various file formats, such as .xlsx, .xls, .csv, or .pdf — all of which are supported.
Choosing the Best File Format
If your carrier/FMO gives you a choice of formats, use this order of preference:
- .xlsx (best option)
- .csv
- .pdf (only use when no other format is available)
Tip: Selecting .xlsx or .csv allows ComTrack to process your statements more accurately and quickly.
Ways to Upload (Digest) Your Statements
In ComTrack, we use the term Digest to describe the process of reading your statement and pulling the data into the platform.
There are four ways to Digest:
- Drag and Drop
- Retrieve (automated retrieval from carrier portals)
- Zapier
1. Drag and Drop
- On any page in ComTrack, press Ctrl+D (Windows) or Cmd+D (Mac),
or click the blue "Digest" button on your Home page. - You can browse for files or drag them onto the pop-up window.
- ComTrack will list each selected file — upload as many as you want.
- When ready, click Digest to start processing.
What Happens After Digest
Once uploaded, ComTrack will read, analyze, and standardize the data in each file.
The processed data appears in your All Time Data page in a clean, uniform format.
Each file will end up in one of four post-processing lists:
1. Digested
The file was processed successfully and the data is now in All Time.
2. Not Recognized
The file format or keywords don’t match any supported carrier/FMO.
- We currently support files from 250+ carriers/FMOs.
- If we don’t support yours yet, click "Send to tech team", specify the carrier/FMO, and we’ll add support in 2–3 business days.
3. Skipped, Duplicate
ComTrack automatically checks for previously uploaded files.
If an exact match is found (even if the file name changed), it will be skipped to prevent duplicate data.
4. Rejected (Rolling Statements)
Some carriers — including Aetna MA, Heartland National, and UnitedHealthcare — issue rolling statements that are continuously updated throughout the month.
Example:
UnitedHealthcare’s August 2025 statement may:
- Have 10 rows if downloaded on August 5
- Have 30 rows if downloaded on August 25 (the original 10 + 20 new rows)
Why this is a problem:
- The file is not identical, so it’s not detected as a duplicate.
- The rows can’t simply be de-duplicated because some carriers legitimately include identical rows in the same statement.
Solution:
To prevent accidental duplication, ComTrack will not digest rolling statements for the current month.
You can upload them after the month ends.
